Netsuite AP Integration in 2024: 7 Tools & Key Insights

Oracle’s Netsuite is an enterprise resource planning (ERP) system known for its suite of solutions designed to automate different business operations. Although ERP solutions offer a wide range of solutions as a suite, situations where they cannot meet certain demands in AP automation can result in vendor lock-in. This can be overcome with AP tools that can integrate with ERPs several ways (See Figure 1). This article will explore solutions with Netsuite AP integration extend Netsuite’s AP automation capabilities.

7 AP automation software integrates with Netsuite

Analysis of AP automation solutions

In this section, we will include the features of the vendors in the table that improve Netsuite’s AP automation and include user comments regarding the integration capabilities.

1-PairSoft

PairSoft is a native integration solution for Netsuite. The prominent solutions offered by PairSoft in Netsuite integration are as follows:

• Customized workflows in integration with Netsuite (Figure 1).

2-Stampli

Stampli provides API integration with Netsuite AP automation.

• Synchronization: Stampli sync data with Netsuite in several fields including vendors, GLs, locations, departments, segments, invoice & payment, and other custom fields.⁵

3-Avidxchange

Avidxchange provides API integration with Netsuite AP automation.

Line item match: Avidxchange can extract, process and match invoice images and expense line items.

Pricing: AvidXchange does not charge for each user. In integration with Netsuite, the product offers unlimited users & approvers for each solution.⁸   

ACH file generation: Avidxchange can generate ACH files and send them to the bank directly. Customers can also send ACH invite to vendors with Avidxchange and customers can enter their banking information directly in Netsuite (Figure 3):

4-Quadient Accounts Payable by Beanworks

List integration: Beanworks brings in any necessary lists required to generate an AP invoice in Quadient AP, including:

• vendor details
• GL accounts
• classes
• currencies
• departments, and more.¹⁰    

Suitable to connect multiple accounting solutions: If Beanworks integrates with your ERP system, it can merge each ERP into a unified Quadient AP account. The product offers a multi-entity use that allows you to access invoices, purchase orders, and payments from various entities all in one consolidated view. ¹¹     

GL coding: With GL coding, Quadient can code your invoice header data in improved accuracy.

5-Tipalti

Tax engine & compliance: Tipalti provides digitization of tax forms such as W-9 and W-8 series. You can collect and validate forms through a tax engine reviewed and approved by KPMG, ensuring compliance with IRS and VAT tax regulations. Tipalti also offers 1099/1042-S tax preparation reports, calculates any required withholdings, and facilitates 1099 eFiling to the IRS and states for your accounts payable teams at the end of each year.¹²      

Global supply network: In integration with Netsuite, Tipalti allows you to process payouts to 196 countries in 120 local currencies and various payment methods—including US ACH, Global ACH, wire transfers, PayPal, paper checks, cards, and prepaid debit cards. ¹³      

Payment processing: Users point out that Tipalti facilitates the payment process in Netsuite integration (Figure 4).

6-Nanonets

Approval routing: Multi-stage approval routing allows for one-click approvals from the appropriate individuals

Custom field mapping: You can use reporting across Nanonets and your NetSuite GL by mapping the relevant fields in your transactions. This way users can minimize manual coding and receive notifications only when a code is absent.¹⁵       

Data capture: You can use a pre-trained AI to extract SKU items, vendors, invoice amounts, Tax IDs, and other relevant fields from invoices. Users can also customize the AI and include additional labels according to specific requirements.

7- BILL

Monitoring: Bill allows tracking of cash and payables instantly with a 2-way sync between BILL and NetSuite.

Automatic data update: BILL updates NetSuite automatically. This eliminates the need for your team to enter payments multiple times.¹⁶     

International payments: You can handle payments to your international vendors through BILL and avoid hidden conversion fees and payment delays by settling invoices in vendors’ local currencies. ¹⁷ 

Consolidated AP automation: Users praise BILL for its consolidated AP automation, which makes it easier to use (Figure 5).

What to consider while choosing an AP automation solution for Netsuite?

• Compatibility: Some tools can have issues in integration. Make sure the AP tool integrates smoothly with Oracle Netsuite to avoid compatibility issues and streamline data exchange.
• Automation efficiency: Evaluate the level of automation the tool offers in the accounts payable process, particularly regarding manual data entry, payment processing and workflow. Assess the tool’s efficiency in invoice capture, processing, and payment management to enhance the overall AP process.
• Data extraction: Look for AP automation tools that automate extracting invoice data and update Netsuite data automatically.
• Payment reconciliation: Consider the tool’s capabilities in payment reconciliation to ensure tracking and management of payments within Netsuite.
• Customization: Some tools allow customized AI solutions. Check if the tool allows for customization to meet your specific needs and workflows within Netsuite.
• Support: Evaluate the level of support and training provided by the tool’s vendor to avoid lock-ins.
• Security: The tool should adhere to security standards and protocols to safeguard sensitive AP data and comply with regulatory requirements.
